File Management
I work with faculty to help them select, evaluate and experiment with new technologies. In recent months we have adopted the MS Teams platform and I have found there is great confusion about the file management integration with our SharePoint system. The way I try to overcome this confusion is to begin by explaining that with every Team created, a mirror image site is also created in SharePoint for the team. Only members of the Team can see the SharePoint space and access the files there. Those who are familiar with SharePoint are able to understand the difference between the two and how they connect with each other from that point.
Others who are not as familiar with the system need further explanation. I go on to use a descriptive analogy. SharePoint is essentially a giant room filled with various filing cabinets. Some you can open, some you can’t. When you create a Team, your team will get its own filing cabinet in the SharePoint room. That filing cabinet will be comprised of folders. When you create channels in Teams, the SharePoint site will display those channels as the folders within your cabinet. Each channel has a Files area to store files related to the content within the channels and will be stored within the folders in the SharePoint filing cabinet. These two spaces are mirror images of each other…. you add a file to a channel within Teams, it’ll automatically appear in the SharePoint site and vice versa. That analogy usually flicks on a light bulb and my faculty can then better understand how the Teams platform works with all of our MS products.
