Sounds simple, but it requires a few key bits of knowledge and is absolutely required in project management students.  It’s a foundation skill for running a project that includes other people.

They need to break this down into little pieces, and there are some presumptions we make along the way.

  1.  What tool to book the meeting in?  For most of us, that’s Outlook, but the student may not know this, and may not find it obvious.
  2. How to book a room? Again simple if you do it every day, but difficult if you’ve never had to do it.  Requires finding the right size room and working to actually place the booking.
  3. How to pick a time?  Again sounds easy, but if most participants aren’t using the same calendar system, this can take time.
  4. Set the agenda.
  5. Book the meeting in the tools
  6. Deal with any responses, and rebook if required.

Broken down step by step there are some key assumptions we make, and it’s easy to forget how difficult this could be for someone outside the organization, such as students.
